1. Who we are
MeepleNomads ("MeepleNomads", "we", "us", or "our") organises small-group board game travel trips, combining curated sightseeing with evening tabletop gaming sessions. These Terms & Conditions ("Terms") govern your use of the MeepleNomads website at meeplenomads.com (the "Site") and your booking of any trip, event, or experience organised by us (a "Trip").

By enquiring about, reserving, or paying a deposit for a Trip, you confirm that you have read, understood, and agree to be bound by these Terms on behalf of yourself and every traveller included in your booking.
2. Bookings and payments
A booking is only confirmed once we have received your signed agreement (where applicable) and your non-refundable down-payment. The remaining trip balance is due by the date specified in your booking confirmation, unless otherwise agreed with us in writing.
- Prices are shown per person and are subject to change until a booking is confirmed with a down-payment.
- Payment links and instructions are sent directly by our team via email or WhatsApp.
- If the outstanding balance is not received by the due date, we may treat the booking as cancelled by you, and our cancellation terms (see our Cancellations & Refunds Policy) will apply.
- Group sizes are limited. Confirmed spots are allocated on a first-paid, first-served basis.
3. What's included
Each Trip page lists what is included (such as accommodation, selected activities, and evening game sessions) and what is excluded (such as flights, travel insurance, visas, and personal spending) unless stated otherwise in your booking confirmation. Actual daily activities may vary depending on weather, local availability, or circumstances beyond our control, and we will always try to offer a reasonable alternative.
4. Changes and cancellations
If you need to change or cancel your booking, or if we need to amend or cancel a Trip, our Cancellations & Refunds Policy applies and forms part of these Terms.
5. Traveller responsibilities
By booking a Trip, you agree that you and every traveller in your booking will:
- Hold a valid passport (and any required visas) that remains valid for the full duration of the Trip.
- Arrange comprehensive travel insurance covering medical costs, cancellation, and personal belongings before departure.
- Disclose any medical condition, dietary requirement, or accessibility need that may affect your participation in the Trip.
- Behave respectfully towards fellow travellers, hosts, and local communities, including in the private travellers' WhatsApp group.
- Comply with the laws and customs of every destination visited.
We reserve the right to remove any traveller from a Trip, without refund, if their conduct puts the safety, enjoyment, or wellbeing of the group at risk.
6. Liability
MeepleNomads acts as an organiser bringing together accommodation, activities, and experiences, some of which are delivered by independent third-party suppliers (such as hotels, venues, and activity operators). We select these partners carefully, but we are not liable for acts, omissions, injury, loss, or damage caused by independent third parties outside of our direct control.
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for death or personal injury caused by our negligence.
7. Intellectual property
All content on the Site, including text, photos, and logos, belongs to MeepleNomads or its licensors and may not be copied or reused without our prior written permission.
8. Changes to these Terms
We may update these Terms from time to time. The "Last updated" date at the top of this page shows when it was last revised. Continuing to use the Site or travel with us after an update means you accept the revised Terms.
9. Governing law
These Terms are governed by the laws of [governing law / jurisdiction to be confirmed], without regard to conflict of law principles. Any disputes will be subject to the exclusive jurisdiction of the courts of that jurisdiction, save where mandatory consumer protection law gives you the right to bring a claim in your own country of residence.
