Cancellations & Refunds
1. Before you book
MeepleNomads Trips are experiences, not physical goods, so this policy explains how cancellations, changes, and refunds work instead of a traditional "returns" policy. It applies to every Trip booked through MeepleNomads and forms part of our Terms & Conditions.
Because our Trips are small-group and space is limited, a cancellation affects the whole group, not just one seat. We strongly recommend taking out travel insurance that covers trip cancellation as soon as you book.
2. The down-payment (deposit)
Your spot is only confirmed once we've received your down-payment. The down-payment is non-refundable, as it secures your place in the group and covers non-recoverable costs we commit to on your behalf (such as accommodation and venue holds), regardless of the reason for later cancelling.
3. If you cancel
If you need to cancel after your down-payment has been paid, refunds of the remaining trip balance (excluding the down-payment) are calculated based on how far out from departure we receive your written cancellation notice:

Cancellations must be sent in writing to [email protected]. The date we receive your written notice is the date used to calculate your refund.
4. Transferring your spot
If you can't make it, you may transfer your booking to another person instead of cancelling, provided you tell us in writing at least 14 days before departure and the new traveller meets any requirements for the Trip (such as passport validity). We don't charge a transfer fee, though any costs charged to us by third-party suppliers (such as accommodation providers) as a result of the change will be passed on.
5. If MeepleNomads changes or cancels a Trip
Occasionally we may need to adjust a Trip's itinerary, or in rare cases cancel it entirely, due to insufficient group numbers, supplier issues, safety concerns, or circumstances beyond our control (see Force Majeure below).
- Minor changes (for example, a swapped activity or venue due to weather or availability) don't entitle you to a refund, and are noted on our Trip pages as something that may vary.
- If we cancel the Trip entirely, you'll receive a full refund of everything paid to MeepleNomads for that Trip, including the down-payment, or the option to transfer your payment to a future Trip.
We are not responsible for related costs you've booked independently, such as flights or pre/post-trip accommodation - this is why we recommend booking flexible or insured travel arrangements.
6. Force majeure
Neither MeepleNomads nor you will be liable for failing to perform obligations under a booking where this is due to events beyond reasonable control, including natural disasters, extreme weather, pandemic or public health restrictions, war, civil unrest, or government action. Where a Trip is affected by such an event, we'll work with you in good faith on rescheduling, credit, or partial refund options where possible, but a full refund can't always be guaranteed.
7. Travel insurance
Comprehensive travel insurance, including trip cancellation and medical cover, is required for all MeepleNomads travellers and is the traveller's own responsibility to arrange. If you cancel due to illness, injury, or another insurable event, you'll need to claim the applicable amount back through your own travel insurance policy.
